Our client, a top 100 Law firm, are looking for a Secretarial Coordinator to join their team to ensure efficient secretarial service delivery while supporting the wider firm strategy.

Key Responsibilities:

  • Monitor absence, manage sickness processes, conduct return-to-work interviews.
  • Provide feedback for performance reviews and support recruitment.
  • Resolve minor interpersonal and performance issues when needed.
  • Act as a mentor/coach and conduct quarterly reviews and PDRs.
  • Ensure appropriate delegation, workload distribution and resource allocation.
  • Collaborate with other co-ordinators and promote initiatives like DMC use.
  • Lead onboarding for new joiners; oversee group systems and distribution lists.
  • Represent the group in forums; drive implementation of new tools and initiatives.
  • Organise group meetings, training, and social events.
  • Diary and contact management for partners.
  • Travel booking, meeting arrangements, inbox management.
  • Document production and formatting (Word, PowerPoint).
  • Billing, expense management, file archiving, and CRM updates.

About you:

  • Proven leadership and organisation abilities.
  • High attention to detail and discretion.
  • Excellent communication and interpersonal skills.
  • Able to handle pressure, prioritise, and resolve issues.
  • Proficient in MS Office, document management, CRM, and financial systems.
  • Experience in a secretarial role within a professional services environment.
  • Demonstrated experience managing people, processes, or workflow coordination.
