Our client, a top 100 Law firm, are looking for a Secretarial Coordinator to join their team to ensure efficient secretarial service delivery while supporting the wider firm strategy.
Key Responsibilities:
- Monitor absence, manage sickness processes, conduct return-to-work interviews.
- Provide feedback for performance reviews and support recruitment.
- Resolve minor interpersonal and performance issues when needed.
- Act as a mentor/coach and conduct quarterly reviews and PDRs.
- Ensure appropriate delegation, workload distribution and resource allocation.
- Collaborate with other co-ordinators and promote initiatives like DMC use.
- Lead onboarding for new joiners; oversee group systems and distribution lists.
- Represent the group in forums; drive implementation of new tools and initiatives.
- Organise group meetings, training, and social events.
- Diary and contact management for partners.
- Travel booking, meeting arrangements, inbox management.
- Document production and formatting (Word, PowerPoint).
- Billing, expense management, file archiving, and CRM updates.
About you:
- Proven leadership and organisation abilities.
- High attention to detail and discretion.
- Excellent communication and interpersonal skills.
- Able to handle pressure, prioritise, and resolve issues.
- Proficient in MS Office, document management, CRM, and financial systems.
- Experience in a secretarial role within a professional services environment.
- Demonstrated experience managing people, processes, or workflow coordination.
